POSITION GOAL

To perform a wide variety of skilled secretarial duties involving sub-administrative responsibility and judgment to relieve the department administrator of routine office procedures in a responsible and accurate manner.

ESSENTIAL PERFORMANCE RESPONSIBILITIES

The Department Secretary shall carry out the essential performance responsibilities listed below.

  • Perform advanced secretarial/clerical duties.
  • Perform special assignments for the Department Director/ Executive Director, Principal on Task Assignment, and/or other administrators.
  • Take dictation and type correspondence, articles, reports, manuals, and other materials on general or technical subjects; draft routine acknowledgements in response to inquiries for administrators' signature
  • Examine, check, and verify complex statistical and other reports for completeness and accuracy of computations; determine conformity to established requirements and personally follow up the more complicated discrepancies.
  • Perform fiscal, personnel, purchasing, and bookkeeping/accounting duties.
  • Analyze monthly printouts from the Budget Office.
  • Maintain updated and accurate files of general correspondence, business documents and policies.
  • Maintain calendar for and remind staff members and department administrator of appointments and events.
  • Answer telephone, screen callers, and refer to appropriate person.
  • Operate standard office equipment such as any generation of typewriter, calculator, CRT terminal, microcomputer, word processor, duplicator, etc., as well as equipment developed or advanced from future technology
  • Participate in the training programs offered to enhance the individual's skills and proficiency related to the job responsibilities.
  • Review current developments, literature and technical sources of information related to job responsibilities.
  • Ensure adherence to good safety procedures.
  • Perform other duties as assigned by the Department Director /Executive Director.
  • Follow federal and state laws, as well as School Board policies.

MINIMUM QUALIFICATIONS & EXPERIENCE

  • Standard high school diploma or satisfactory completion of an approved General Educational Development (GED) Testing Program.
  • Six (6) years of general office/secretarial experience including experience in using word processors and microcomputers.
  • OR

  • Two (2) years of general office/secretarial experience including experience in using word processors and microcomputers.
  • Two (2) years of education in secretarial science or related business coursework from an accredited college or university (normally an associate's degree program).
  • AND

  • An excellent command of English grammar; ability to handle a variety of tasks simultaneously.
  • Must have passing test scores:
    • Computer Keyboard Skills:
    • Speed -                40
    • Accuracy -            70
  • Computer skills as required for the position.

PREFERRED QUALIFICATIONS & EXPERIENCE

  • Vocational or business school Secretarial Science training preferred.
  • Proficiency in shorthand preferred.
  • Bilingual skills preferred.
