POSITION GOAL

To perform skilled secretarial duties and assist a School Board Member with a variety of sub-administrative tasks involving the exercise of initiative, independent judgment, and the utilization of School Board policies.

ESSENTIAL PERFORMANCE RESPONSIBILITIES

  • Assist the public with inquiries and expedite the resolution of problems and complaints by contacting the appropriate personnel and requesting follow-up information for School Board Members.
  • Perform tasks in support of the administrative function in the department.
  • Perform special assignments; research and prepare reports.
  • Plan, initiate, and carry to completion clerical and administrative activities.
  • Act as liaison between School Board Members and the District’s administrative staff.
  • Interact and communicate effectively and in a professional manner with the general public, media, students, parents, staff members, elected officials, etc. using tact and good judgment.
  • Make arrangements for conferences including space, time, and place; inform participants of topics to be discussed and research and provide background information.
  • Receive, sort, read, and annotate mail.
  • Compose correspondence for the executive staff; prepare summaries, reports, and other administrative documents.
  • Organize and maintain files of general correspondence and business documents.
  • Answer telephone, screen callers, ascertain nature of business, handle calls personally whenever possible, and refer to proper official or department when appropriate; greet visitors and offer suggestions and guidance in order to maintain good public relations for the school district.
  • Operate standard office equipment as required by the job.
  • Manage complex calendars for meetings, travel, and other commitments of the School Board member, and keep informed of the School Board member’s location and actions to provide notice of urgent and incoming correspondence and/or events.
  • Receive incoming mail, compose correspondence, reports, and other information, and follow up when applicable.
  • Draft routine acknowledgments and responses to inquiries not requiring supervisory attention.
  • Coordinate travel arrangements for School Board Member, prepare Temporary Duty Authorizations (TDAs), and fill out and submit all convention/seminar registration forms.
  • Work on special projects involving research and collecting, analyzing, and evaluating data to be submitted as background material for staff, press, attorney, etc.
  • Interact effectively with the public, staff members, students, teachers, parents, and administrators, using tact and good judgment.
  • Perform and promote all activities in compliance with the equal employment and non-discrimination policies of The School Board of Broward County, Florida.
  • Participate in training programs offered to enhance the individual skills and proficiency related to job responsibilities.
  • Review current developments, literature, and technical sources of information related to job responsibilities.
  • Ensure adherence to safety rules and procedures.
  • Follow federal and state, as well as School Board policies
  • Perform other duties as assigned by the immediate supervisor or designee. 

MINIMUM QUALIFICATIONS & EXPERIENCE

  • A standard high school diploma or satisfactory completion of an approved General Educational Development (GED)Testing Program.
  • A minimum of six (6) years of related secretarial experience.

OR

  • Two (2) years of education, any two (2) years college degree duties at a college level (normally, an Associate’s degree program).
  • A minimum of two (2) years of related secretarial experience.
  • Must have a well-rounded knowledge of business practices and School Board policies.
  • Must have an excellent command of English grammar; ability to handle a variety of tasks simultaneously.
  • Ability to establish and maintain effective working relationships with diverse groups including other employees’ departments, and the general public.
  • Experience composing correspondence independently and preparing reports in an articulate manner.
  • Ability to exercise independent judgment and make decisions.
  • Ability to understand and carry out complex oral and written instructions.
  • Must have experience in using office automation equipment.
  • Time management and ability to meet deadlines.
  • Effective verbal, written, and communication skills.
  • Advanced organization skills and keen attentiveness to detail.
  • Computer skills as required for the position.

PREFERRED QUALIFICATIONS & EXPERIENCE

  • Vocational or business school Secretarial Science training.
  • Bilingual skills.
  • The hiring administrator may specify preferred, appropriate additional qualifications as may be related to the job. 

SIGNIFICANT CONTACTS-frequency, contact, purpose

Frequently works with board members, senior management, and Superintendent as necessary; interacts with staff and the general public regarding various inquiries.

PHYSICAL REQUIREMENTS

Light work: Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently as needed to move objects.

TERMS OF EMPLOYMENT

Salary and benefits shall be paid consistent with the District's approved compensation plan. Length of the work year and hours of employment shall be those established by the School Board.
