POSITION GOAL
Implement capital projects that meet defined standards, are completed on time, and within budgeted resources by effectively coordinating planning and scheduling, or contract services, or preventive maintenance, or asset management between the Physical Plant Operations, Safety, and the Facilities and Construction Departments to ensure District-wide resource optimization and strategic project planning and implementation.
ESSENTIAL PERFORMANCE RESPONSIBILITIES
The Projects Coordinator, Physical Plant Operations shall carry out the performance responsibilities listed in the assigned area below.
Projects Coordinator, Planning and Scheduling
- Research, develop and maintain a database of schools/facilities within assigned area in the School District.
- Develop needs and resources forecasts on area schools/facilities to prepare budgets and work plans, with special emphases on aging schools future capital needs.
- Develop, establish and implement a capital projects scheduling system, in coordination with the Facilities and Construction Department.
- Ensure projects are on time and within planned resources by conducting costs and scheduling variance analysis, making recommendations for corrective action including evaluating backlog level and recommending where overtime is required to complete priority repairs.
- Provide resource analysis and scheduling assistance to area and District Physical Plant Operations personnel by developing labor estimates for planned work and establishing schedules based on confirmed priorities, equipment, and trade availability.
- Act as liaison between Physical Plant Operations and Facilities and Construction Departments on scheduling, implementation, quality assurance and inspections of capital projects.
- Ensure effective coordination of project planning and scheduling by developing job plans and standard repair practices; coordinating database plan management, monitoring and reporting status of ongoing planned repairs and capital projects, and updating information, as required.
- Review work orders to confirm priorities with Facilities and Construction and to establish trade requirements with Physical Plant Operations; review applicable documents, manuals, and resources to determine sequence of trades, scope of work, and job plans for major repairs.
- Coordinate with Project Managers, Facilities and Construction, on capital projects to plan and schedule work.
- Coordinate materials and spare parts availability with stockroom based on project requirements prior to project scheduling; may recommend changes to stock levels, including additions/deletions, from inventory.
- Secure permits and inspections for capital projects below $200,000 in total cost.
- Ensure accuracy and timeliness of work order information entered into database by providing supervision for data entry of work orders for each maintenance zone.
MINIMUM QUALIFICATIONS & EXPERIENCE
- A standard high school diploma or satisfactory completion of an approved General Educational Development (GED) Testing Program.
- A minimum of (7) years of experience and/or training in the field related to the title of the position.
OR
- An earned associate degree from an accredited institution.
- A minimum of five (5) years of experience and/or training in the field related to the title of the position.
And
- Requires the skills and ability to identify trends and recommend improvements based on analysis of data.
- Computer skills as required for the position.
PREFERRED QUALIFICATIONS & EXPERIENCE
- Preferred degree majors in building construction, public or business administration, environmental or safety management, communications, or related field.
- Prior experience preferred in supervisory or training roles in addition to advanced experience involving commercial construction projects (including an apprenticeship, if applicable) in Buildings and Grounds Maintenance, including auxiliary crafts of carpentry, electrical, plumbing, masonry, electronic technician, air conditioning, mechanic, hardware mechanic, fire extinguisher serviceperson, cafeteria, and industrial art mechanic, etc.
- Journeyman's license or certification in appropriate trade preferred. • Bilingual skills.
SIGNIFICANT CONTACTS-frequency, contact, purpose
Communicates on an ongoing basis with Project Managers, Facilities & Construction, Building Inspectors, Safety Specialists, and Maintenance Zone Managers to ensure coordination of planning and scheduling of maintenance capital projects across divisions; communicates with contractors, purchasing, and Physical Plant Operations departments utilizing contracted services to ensure effective oversight of contract services; ongoing internal communication between coordinators of asset management and preventive maintenance to ensure database is current and preventive maintenance is scheduled. All Project Coordinators periodically interact with ETS technical support to ensure availability of system to support projects and services.
PHYSICAL REQUIREMENTS
Light work: Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently as needed to move objects
TERMS OF EMPLOYMENT
Salary and benefits shall be paid consistent with the District's approved compensation plan. Length of the work year and hours of employment shall be those established by the School Board.
